Reservations Manager – Palapas Ventana

Palapas Ventana is looking for your talent. We are an ocean adventure resort on La Ventana Bay in the Sea of Cortez, Baja California Sur, Mexico—just 35 minutes southeast of La Paz between La Ventana and El Sargento. We are a family-run property known for custom service, small-town charm, and world-class water sports.

The Reservations Manager oversees the reservations department and ensures that guest communication, booking accuracy, arrivals, departures, internal coordination, and office systems run smoothly every day. This role is for someone highly organized, calm under pressure, great with guests, and able to lead with consistency and professionalism.

About the Role

The Reservations Manager is responsible for overseeing the day-to-day operation of the reservations department. This includes maintaining accurate booking systems, leading guest communications, coordinating arrivals and departures, supporting office organization, and making sure no important detail falls through the cracks.

This is a hands-on leadership role for someone who can manage both guest-facing communication and internal coordination with confidence and care.

Schedule & Role Details

  • Full-time, on-site role at Palapas Ventana
  • 5 days per week, 2 days off
  • Approx. 48 hours per week
  • Oversees the reservations department
  • Works closely with guest arrivals, operations, housekeeping, transportation, and internal support teams

Core Responsibilities

  • Oversee all reservations department operations
  • Manage guest communication across email, phone calls, text, and WhatsApp
  • Ensure reservations, schedules, and guest details remain accurate and up to date
  • Supervise check-ins and check-outs as needed
  • Coordinate shuttle timing and guest arrival logistics
  • Confirm casita readiness before arrivals, including keys, cleaning status, and guest notes
  • Ensure phone and message follow-up is complete and organized
  • Maintain high standards for office organization, key systems, supplies, and signage
  • Coordinate priorities and communication across departments
  • Guide and supervise reservations support staff as needed
  • Create and maintain clear systems for follow-up, prioritization, and guest service
  • Support strong internal communication so arrivals and departures feel smooth and professional
  • Help maintain a calm, reliable, guest-focused reservations office

Requirements

  • Strong organizational and leadership skills
  • Excellent written communication
  • Spanish required
  • English strongly preferred
  • Comfortable with WhatsApp, email, Excel, and online tools
