Reservations Assistant (RA) – Palapas Ventana

Palapas Ventana is looking for your talent. We are an ocean adventure resort on La Ventana Bay in the Sea of Cortez, Baja California Sur, Mexico—just 35 minutes southeast of La Paz between La Ventana and El Sargento. We are a family-run property known for custom service, small-town charm, and world-class water sports.

The Reservations Assistant keeps the reservations office running clean and fast: messages answered correctly, schedules accurate, arrivals coordinated, and the Reservations Coordinator fully supported. This role is for someone organized, calm under pressure, and great with guests.


Schedule & Reporting

  • Supervisor: Reservations Coordinator
  • Schedule: 5 days/week, 2 days off, approx. 48 hours/week (set by RC)
  • On-site role at Palapas Ventana (La Ventana / El Sargento area)

Core Responsibilities

  • Support guest check-ins and check-outs as needed.
  • Keep the reservations schedule accurate and always up to date.
  • Guest communication: email, phone calls, texts, and WhatsApp.
  • WhatsApp: reply only when you are sure; if unsure, mark as UNREAD for RC.
  • Email triage: flag urgent items; if not urgent, mark as UNREAD for follow-up.
  • Record and relay all phone messages to the Reservations Coordinator.
  • Coordinate shuttles and arrival logistics; communicate with shuttle driver when guests reach the highway meeting point.
  • Confirm casita readiness prior to arrivals (keys, cleaning status, any special notes).
  • Office operations: keep supplies stocked (coordinate restocking with accounting).
  • Schedule office cleaning; maintain organized drawers/storage.
  • Key management: copies, new keys, labeling, and organization.
  • Create/print/laminate signs as needed.
  • Digitize guest evaluations into online forms.
  • Enter “show” bookings (fly fishing, etc.) into Excel.
  • Carry the PV phone during lunch hours or when the Coordinator leaves property.
  • Track employee birthdays.
  • Maintain tight communication with the RC: priorities, follow-ups, and closure on pending items.

What Success Looks Like

  • Guests get fast, friendly responses—and clear instructions.
  • No missed messages; nothing “falls through the cracks.”
  • Arrivals feel smooth: shuttles timed, keys ready, casitas confirmed.
  • The Reservations Coordinator can trust the system and focus on higher-level needs.

Requirements

  • Highly organized and detail-oriented.
  • Strong written communication (Spanish required; English strongly preferred).
  • Comfortable with WhatsApp, email, spreadsheets (Excel), and basic online tools.
  • Reliable, punctual, calm under pressure, and guest-focused.
  • Ability to follow systems (UNREAD rules, prioritization, and checklists).
